Position Summary

Grand Touring Automobiles is seeking a Sales Coordinator for our Polestar Division. Reporting to the Sales Managers, the Sales Coordinator is responsible for supporting sales administration and ensuring all licensing and documentation processes are completed accurately and efficiently.


Key Responsibilities

  • Prepare all vehicle licensing applications daily

  • Calculate licensing fees, prepare cheques, and submit to the Ministry of Transportation

  • Verify returned licensing information and record applicable data (plate and permit numbers)

  • Place completed dockets in mobile files

  • File dockets under the appropriate Sales Representative

  • Contact relevant parties to obtain missing licensing information

  • Liaise regularly with the Ministry of Transportation

  • Respond to Sales Representative inquiries regarding client licensing

  • Sort all delivered vehicle dockets

  • Record docket information in new and used vehicle registers

  • Prepare dockets for future sales

  • Match NIVIS, VDR, and factory invoices from the manufacturer

  • File matched documents in the appropriate vehicle line folders

  • Retrieve new vehicle pouches and match with corresponding documentation

  • Record stock numbers on all manufacturer documents


Qualifications & Skills

  • Polite and professional demeanor

  • Previous automotive dealership experience is required

  • Strong computer literacy (One Eighty fluency considered an asset)

  • Customer-service focused with a commitment to best-in-class client experience

  • Ability to meet deadlines in a fast-paced environment

  • Strong ability to work independently

  • Excellent verbal and written communication skills

  • Exceptional organizational skills and attention to detail
